We are currently seeking a talented and detail-oriented Vendor Management Coordinator to join our team.
In this hourly, administrative/clerical role, you will play a vital part in maintaining our vendor process in accordance with established IRS guidelines.
Your responsibilities will include handling undeliverable and returned checks, conducting research and making corrections, adding vendor payee information into the system, and learning basic mailroom procedures.
You will also work with Excel, Outlook Email, and answer phone calls from vendors.
Responsibilities:
Responsible for training for and becoming competent in the various duties of the Vendor Management Coordinator position.
Responsible for the backup of the Add and Modify daily submissions of payees process.
Responsible for preparing and submitting the weekly update of the claimant payees.
Responsible for testing W-9's on the IRS database to assure compliance.
Also responsible for the updating of the payee based upon results of the testing.
Coordinate updating the payee table based upon IRS submissions of pass or fail.
Assist in the coordination of mailing the W-9 request letters.
Maintain the W-9-1099 telephone line.
This will include listening to the messages, researching to determine a response, and returning the call.
Research vendor information as needed.
Scan and save W-9 for documentation.
Assist the Vendor Management Specialist and Supervisor as needed.
Performs other duties as assigned.

Education and
Experience:
High school diploma required.
Associate degree in general education or accounting preferred.
1-3 years of experience in a business office setting preferred.
Computer Skills:
Proficiency in Microsoft Office Products, including Word, Excel, Outlook, etc.
Certificates, Licenses, Registrations:
None required.
Physical Demands:
The physical demands of this job include routine lifting and carrying of objects, with no regular lifting of objects weighing more than 15 pounds.
The work also involves sitting or standing for up to 7.
5 hours or more at a time, as well as sufficient auditory and visual acuity for effective interaction with others.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
