Summary:
The Part-Time Office Assistant plays a crucial role in supporting the day-to-day administrative and operational functions of the HR and Marketing departments.
This position's responsibilities involve a combination of administrative tasks and basic marketing support.
Responsibilities:
Essential Functions:
Prepares new hire and exit packets accurately and timely as requested.
Audits timecards for completion each pay period as directed and follows up with managers for incomplete signoffs.
Provides backup to Graphic Designer/Marketing Specialist for requests for information.
Supports RFP Specialist.
Completes data entry.
Coordinate the shipping and promotional item ordering of convention items for regional and national convention requests.
Maintains marketing room inventory, including ordering replacements and letting the Marketing Specialist know when supplies are low.
Manages small marketing projects like updating and printing, binding and converting and manipulating PDF files.
Ability to run and maintain printers and other office machinery in the marketing department.
Assists with shipping of items for multiple teams.
Ability to get along with others.
Assist with all required marketing efforts.
Responsive to internal and external client needs.
Other duties, as assigned.
Qualifications:
Requirements:
Excellent verbal and written communication skills are essential for communicating verbally and /or in writing both internally and externally.
Must be detailed oriented and able to work well under deadline pressure while remaining focused.
Recognizing and correcting errors and inconsistencies.
Experience with print production is a plus Familiar with standard concepts, practices, and procedures and terminology within marketing.
Excellent communication skills amongst peers and management.
Ability to convey concepts and ideas clearly.
High energy level and team player.
Strong written and oral communication skills.
Individual must be a self-starter with strong organizational abilities.
Ability to multi-task and prioritize required.
Ability to operate general office equipment and perform clerical duties.
Flexibility, initiative, and the ability to work with a minimum of direct supervision a must.

Education and/or Experience High School graduate or equivalent.
Computer Skills Comprehensive knowledge of Photoshop, InDesign, Corel, Illustrator, and various other design software is preferred.
Advanced knowledge of Microsoft Office (Word , Excel , PowerPoint ).
Working knowledge of both PC and Mac Platforms.
